Sales Administrator (Remote)

Job Overview

Kinetics Group is looking for a highly organized and detail-oriented Sales Administrator to provide remote administrative and sales support to our growing team. This role plays a critical part in ensuring the smooth execution of sales operations by managing quotations, documentation, business correspondence, and coordination activities.

The ideal candidate is proactive, dependable, and capable of managing multiple priorities while working independently in a remote environment. You will collaborate with suppliers, customers, and internal departments to ensure timely responses, accurate documentation, and efficient administrative support. This position offers an excellent opportunity to gain exposure to engineering and project-based business operations while contributing to a dynamic and professional organization serving the UAE and wider MENA region.

Key Responsibilities

  • Prepare quotations, calculations, reports, and professional business correspondence.
  • Coordinate with suppliers, customers, and internal teams to ensure timely completion of tasks.
  • Assist with the preparation and submission of quotations, material submittals, and pre-qualification documents.
  • Maintain organized digital filing systems and accurate business records.
  • Monitor incoming emails and ensure prompt follow-up on pending actions.
  • Support daily sales coordination and administrative activities.
  • Track document status, deadlines, and outstanding requirements.
  • Ensure all documentation is accurate, complete, and properly archived.
  • Provide administrative support to sales and project teams as required.

Required Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Commerce, Engineering, or a related field preferred.
  • Previous experience in sales administration, administrative support, customer service, or coordination roles is advantageous.
  • Experience working in a remote or virtual work environment is beneficial.

Required Skills & Competencies

Technical Skills
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Experience preparing quotations, reports, and business documentation.
  • Familiarity with PDF editing tools, online collaboration platforms, and digital documentation systems.
  • Strong document management and record-keeping capabilities.
Soft Skills
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • High level of attention to detail and accuracy.

Preferred Experience

  • Experience supporting sales teams, engineering companies, construction firms, or project-based organizations.
  • Familiarity with quotation preparation, tender documentation, and pre-qualification submissions.
  • Exposure to CRM systems or document management platforms is an advantage.
